Subject: SAP-Analysis-for-Office
SAP Analysis for Office (AO) is a versatile tool that allows users to perform detailed data analysis by leveraging SAP BW or SAP HANA queries. Key figures—the numerical data elements in your reports—are central to this analysis. To gain deeper insights, users often need to create calculated key figures or apply restrictions to existing key figures. These features enable tailored calculations and focused data views without altering the underlying SAP data sources.
This article explains how to use calculated and restricted key figures in SAP Analysis for Office to enhance your reporting capabilities.
Key figures represent the measurable quantities in your SAP queries, such as sales revenue, quantity sold, costs, or profits. They are typically aggregated over dimensions like time, region, or product category.
A calculated key figure is a new key figure derived from existing key figures through mathematical formulas or expressions defined within SAP Analysis for Office. For example, calculating profit margin as (Revenue - Cost) / Revenue.
Open your SAP Analysis for Office report.
In the Analysis ribbon, click Calculation View or Calculated Key Figures (depending on your AO version).
Select Create Calculated Key Figure.
In the formula editor, build your calculation using existing key figures and operators. For example:
[Sales Revenue] - [Cost]
Name the new key figure (e.g., “Gross Profit”).
Confirm and insert the calculated key figure into your report.
A restricted key figure filters or limits the data included in a key figure based on specified criteria. For instance, calculating sales revenue only for a specific region or product category.
Open your SAP Analysis for Office report.
From the Analysis ribbon, select Restricted Key Figures.
Choose an existing key figure to restrict (e.g., “Sales Revenue”).
Define the restriction by selecting one or more characteristic values to filter on (e.g., Region = “Europe”).
Name the restricted key figure appropriately (e.g., “Europe Sales Revenue”).
Insert the restricted key figure into your report.
You can combine both to perform complex analysis, such as calculating profit margin for a restricted subset of data (e.g., profit margin for Europe only):
Create a restricted key figure for “Europe Sales Revenue”.
Create a restricted key figure for “Europe Cost”.
Use these in a calculated key figure formula to derive the profit margin.
Calculated and restricted key figures extend the analytical power of SAP Analysis for Office by allowing users to tailor key metrics to specific business needs without modifying backend systems. Mastering these features enables more precise, flexible, and insightful reporting—empowering better business decisions.
